Sales Office reporting
Use Global Sales Office (GSO) reporting to see how many planner requests your office receives, how properties respond, and which requests become wins. A Sales Office lead is one planner request. Each property receiving that request has its own opportunity.
Open and filter the report
- Open Reports, then select Sales Office.
- Choose a date range. The default is Last 30 days. For specific dates and times, open the date picker, select Date Range, make your selection, and select Apply.
- To limit the report to particular offices, select Sales offices, choose the offices, then select Apply Sales Offices.
- For other filters, select Additional Filters. Choose GSO owner, Destination property, Event type, Source, Industry, or Lead outcome, select the values, then select Apply Filters.
Applied filters appear below the controls. Remove one with the X on its label, or select Clear all to remove every filter. Changing filters does not change the selected date range.
Sales Office members see the offices and destinations they can access. Management-group administrators can report across their group. Property access alone does not grant access to this report. If the tab or an expected destination is missing, see Troubleshooting.
The date range selects leads by when the Sales Office received them. Every metric then uses the current results for those leads, including responses and wins that happened later. For example, a January request won in February contributes to the January report when you view it after the win.
Preset ranges, such as Last 30 days, use UTC calendar days and include the current UTC day. A custom Date Range uses the timezone shown beside the time fields and includes the selected ending minute.
Choosing a Destination property includes only leads referred to that property. Their outcomes are recalculated using that property's opportunities. A win at another property does not count as a win in the filtered report.
Summary metrics
Sales Office leads counts each request once, regardless of how many properties received it.
Demand adds the original request budget once for each lead with a current Referred or Engaged outcome. Leads that have not been referred contribute no demand. A win at any included property removes the request's full budget from open demand, even if another property is still working on it. Leads also leave open demand when all included opportunities are lost. A missing original budget is flagged as missing demand; Siv does not substitute a property budget.
Sales Office lead close rate is the percentage of included leads with at least one won property opportunity. All included leads count in the total, including unreferred, open, and lost leads.
Directly assigned at referral is the percentage of referred property opportunities initially assigned to a named seller. general inbox and not recorded counts appear separately. Later reassignment does not change the initial assignment recorded for this metric.
Rates show N/A when there are no records to calculate a percentage.
Estimated room nights
The Demand card also shows estimated room nights from all included requests, including won and lost requests. A room night is one room for one night. Siv multiplies the original room count by the number of nights between the event dates. For example, 20 rooms from June 1 to June 4 gives 60 room nights.
A missing end date or a same-day event counts as one night. Missing room counts or unusable dates are flagged as missing room-night inputs. An end date before the start date is flagged as suspect dates. These requests contribute no room nights.
Funnel and trend
The Sales Office lead funnel counts each lead at most once in each stage:
| Stage | What it counts |
| Received | All included leads. |
| Referred | Leads with at least one included property opportunity, including won and lost leads. |
| Engaged | Leads whose current outcome is Engaged or Won. |
| Won | Leads with at least one included won opportunity. |
These counts reflect current outcomes. A lead whose opportunities all become lost leaves Engaged, even if the planner previously replied.
The Lead outcome filter uses these rules:
| Outcome | What it means |
| Not referred | No property opportunities are included. |
| Won | At least one included opportunity is won. |
| Lost | Every included opportunity is closed and lost. |
| Engaged | The lead is neither Won nor Lost, and an included opportunity is Engaged or Closed, has received a planner reply after referral, or has a non-cancelled appointment after referral. |
| Referred | The lead has an included property opportunity but does not meet the rules above. |
The weekly Sales Office leads received chart groups requests into weeks starting on Monday. It uses the office reporting timezone when the included leads share one timezone. If their offices use different timezones, it uses UTC. The chart displays the timezone in use. Administrators can configure the office timezone.
Destination property performance
Each row measures property opportunities belonging to the included Sales Office leads. One request referred to three properties contributes one referral to each property's row.
| Column | How to read it |
| Referrals | Number of referred opportunities at that property. |
| Response coverage | Percentage of referrals with a recorded response from the property to the planner after referral. Referrals without a recorded response remain in the total. |
| Avg + median first response | Time from referral to the first recorded response to the planner in that property's conversation. Only referrals with a recorded response contribute to these times. |
| First-response source | Percentage of recorded first responses from automation or a person. |
| Avg + median human first response | Response time only for referrals whose first response was human. Referrals answered first by automation are excluded, even if a person replies later. |
| Appointment rate | Percentage of referrals with at least one non-cancelled appointment associated with that property opportunity after referral. Each opportunity counts once, regardless of whether the organizer is acting in a property-only or combined GSO and property role. |
| Directly assigned | Percentage initially assigned to a named seller, with inbox and unrecorded assignments shown separately. |
| Referred opportunity close rate | Percentage of referrals that are won. Open and lost opportunities remain in the total. |
Avg means average. Median is the middle response time when the times are sorted from shortest to longest. Response times include evenings and weekends.
Response metrics do not confirm delivery. Check Automatic property response in Central Leads for the initial response's delivery status.
To analyze the same pursuits in the standard property reports, open Additional Filters, choose Opportunity Source, and select Sales Office Referral. This includes opportunities created by a Sales Office referral and existing opportunities later attached to a Sales Office lead.
See the leads behind a number
- Select a summary number, a funnel stage, or a property name.
- In the panel that opens, select a lead card to expand its details.
- Compare Original GSO request with the budgets under Property opportunity.
- Select Load more Sales Office leads if more results are available.
The panel keeps your filters. The close-rate card opens won leads; the direct assignment card opens leads with at least one directly assigned referral. Those lead cards can include other destination opportunities for context. Selecting a property name shows only that property's opportunities.
See Budgets and integrations for why the original request and property budgets can differ. To follow up on a request, return to Central Leads.
