Refer a Sales Office lead to properties

Refer a reviewed Sales Office lead to one or more properties. Each property works its own opportunity and can have a different seller, budget, and outcome.

Open the referral

  1. Select the correct Sales Office and open Central Leads → Needs referral.
  2. Find the lead and select Send…, or Add properties… if it has already been referred elsewhere. On a phone, select Refer.
  3. Open Lead details in the Refer to properties panel and check the request.

If you see Review… instead, follow the referral recovery steps.

Select properties and check existing opportunities

Select each property to include. Use Search properties to find a destination. Only properties covered by your office are available. Recorded guestroom and meeting-space totals appear below each property. Compare them with the request details at the top of the panel. These totals describe the property; they do not show availability, and Siv does not use them to accept or reject a referral.

When Siv finds an Existing open opportunity, review it before choosing:

Attach does not run the property's assignment rules. A named seller, general-inbox assignment, or unassigned state remains unchanged. When no existing open opportunity is shown, Siv creates a new one.

Properties grouped as one team share a sales team. Each selected property is still tracked separately.

The planner contact saved by the Sales Office remains in the office's private directory. When you refer the lead, Siv creates or reuses a separate contact in each destination property's access group. Property users work with that destination copy; they do not receive access to the office's master contact.

Check who will receive each new opportunity

Review the assignment preview below each selected property. Expected assignment names the seller selected by the current rules. Routes to: General inbox means the opportunity will go to the property's shared queue. Next in rotation names the seller expected to receive a rotating assignment; that seller can change if another lead is assigned first.

Review the warm introduction

A warm introduction is the opening of the property's first email to the planner.

  1. Under Starting template, choose an office template or Start blank and write an introduction. Blank introductions cannot be submitted for new opportunities.
  2. Edit the message for this referral. These edits do not change the reusable template.
  3. Select Preview with lead details. Check the planner, property, event, and expected seller. If several properties are selected, use Preview property to check each one.
  4. To tailor one property's message, select Use a different introduction for that property, edit it, and preview it again.

Siv adds the introduction before the property's standard response and sends the combined email from the assigned seller or shared inbox when that property's automatic response is enabled and ready. If no automatic email is configured, the opportunity can still be created and assigned, and property staff are notified. The planner does not receive an automatic email in that case.

Send the referral

Check the property and team counts at the bottom of the panel, then select Refer to [number] properties. The button may first ask you to Select a property, Choose attach or separate, or Write a warm introduction.

Successfully referred properties become locked in the selection. You can return through Add properties… to refer the lead elsewhere. If processing fails, use the recovery controls to finish saved work without recreating completed opportunities.

If the request is not a fit

Before any property has received the lead, you can select Decline lead, enter a Decline reason, and select Confirm decline. This closes the office request without referring it to properties. Use it for a cancelled request or one the office cannot help with.
