Create a Sales Office lead

Create a lead manually when you know the request details, or upload a request for proposal (RFP) to have Siv prepare an editable draft. Creating a lead saves it for office review; you choose when to refer it to properties.

Before you begin

Select the correct Sales Office. Have the event name, start and end dates, guest count, and event type ready. To create a new planner contact, you also need their first name, last name, and email address.

For an RFP upload, use a PDF up to 5 MB. Review the source document even when Siv fills in the fields for you.

Enter a lead manually

  1. Open Central Leads, select New lead, then Enter manually.
  2. Search for a saved planner in Planner contact, or select + Create new contact.
  3. Complete the planner and event fields. Enter the planner's requested Budget if you know it.
  4. Under Requested properties, select the properties to consider. If the planner wants suggestions, select Planner requested property recommendations.
  5. Select Create lead. If a matching contact needs review, follow the steps below.

The lead appears in Central Leads. The owner normally defaults to you; the form shows Unassigned when you create a lead in administrator mode.

Create a lead from an RFP

  1. Open Central Leads, select New lead, then Upload RFP.
  2. Choose the file under PDF RFP and select Upload and extract.
  3. Wait for Review the extracted RFP to appear.
  4. Select View source RFP to compare the PDF with the form. Correct the planner, dates, guest count, budget, and other event details. Fill in missing required fields.
  5. Review any Property preferences found in the RFP, then select the matching properties under Requested properties. Extracted names do not select or refer properties automatically.
  6. Select Create lead and resolve any contact match.

The reviewed details become the new Sales Office lead. The budget records the planner's request; each property's opportunity can later have a different budget.

Review a matching contact

When Siv finds a saved contact, compare Saved contact with Entered details:

  • Select Use existing contact to keep the saved details.
  • Select Update contact and continue to apply the displayed name and company changes. This option appears only when there are changes you can make. Saved email, phone, and address stay unchanged.
  • Select Back to editing if the match or entered details are wrong.

If more than one person matches, choose the correct person or return to editing. Siv does not merge the contacts or offer a new-contact override in this comparison. Review updates carefully because the saved contact may be used by other work.

If the upload or extraction fails

If the file did not upload, choose it again and select Upload and extract. If the extraction status is failed, select Retry extraction to retry that upload. A lead is not created until you select Create lead.
