Configure a Global Sales Office

Use this guide to prepare an office for sellers and keep its settings current. Office setup controls membership, available destinations, conversation access, and reporting. Assignment rules and email templates are configured separately.

Sales Office membership alone does not provide access to office setup or property settings. Contact Siv support when a change requires a Siv administrator.

Request office setup

Give your Siv administrator the office name, members to invite, properties to cover, conversation-access choice, reporting timezone, and any office forms needed.

Destination coverage selects groups of properties that share access in Siv. The setup choices are:

  • Selected property access groups: include only the selected groups.
  • All property access groups: include current and future property groups in the management group.

Choose Office conversations only to keep office membership from granting access to destination conversations. Choose Office and destination conversations to let members view conversations for covered properties. Members can still have additional access through separate property roles.

Specify a named reporting timezone, such as America/Denver, for weekly lead totals. New offices default to UTC. After a setup change, ask the administrator to save it, then check that sellers can open the office and see the intended destinations.

Configure the office lead owner

These rules assign leads received through an office form to an eligible office member. They do not choose the seller at a destination property.

  1. Open the office's Configure lead assignment link. If you do not have the link, ask your Siv administrator for it.
  2. Create or edit a draft and set the assignment rules for current office members.
  3. Select Save Draft before testing the rules.
  4. Under Preview saved assignment, enter example lead details and select Preview assignment. The preview checks the last saved draft and does not reserve a turn in the rotation.
  5. Resolve any validation issues, then select Publish to make the rules live.

A preview with no eligible match means the lead would remain unassigned. Add or correct the relevant membership and rules before relying on automatic assignment.

Prepare property assignment and responses

Ask each property's administrator to check its lead assignment rules, sender or shared inbox, and automatic response configuration. A property's opportunity can be assigned even when an automatic customer email is unavailable.

For reusable introductions, follow Manage reusable templates. Sellers should preview the introduction with actual lead details before referral.

Add property capacity and check forms

Ask your Siv administrator to record total guestrooms and total meeting-space square footage when known. These optional details help sellers compare properties; they do not automatically accept or reject referrals.

To check an office form, ask for its public link and review the planner's experience. In the management-group Sales Offices tab, the form name opens its editor and Open form opens the published form in a new tab. Make sure you are reviewing the published form when checking what planners will see.
